Headteacher's PA
Reporting to: Headteacher and Deputy Headteacher for Admissions
Working weeks: 39 weeks per annum (Term time plus teacher training days)
Hours per week: 37 hours per week
08.00am – 4.00pm Monday to Thursday and Friday 08.00am – 3.30pm (30-minute unpaid lunch break on all working days)

Job Summary
Provide a highly effective first point of contact for all communication with the Head Teacher, support the Headteacher with internal and external communications, delegating appropriately to school staff as directed by the Headteacher.
Job Responsibilities
- Maintain the Headteacher's outlook calendar/diary, coordinating all internal and external meetings, including preparation of agendas and papers, including minute taking where appropriate.
- Open and respond to mail, escalating to the Headteacher where necessary
- Maintain the Outlook Calendar for the Deputy Headteacher’s, arranging meetings where required.
- Acknowledge all communication to the Headteacher in a timely manner.
- Manage the Student Admissions Process, in consultation with the Deputy Headteacher.
- Manage the student suspension process in consultation with the Headteacher
- Coordinate the Complaints Process, ensuring response timelines as per the School Complaint Procedure and in liaison with the Headteacher.
- Coordinate the paperwork for permanent exclusions in liaison with the Clerk to Governors/Chair of Governors and the Headteacher.
- Ensure effective communication channels within school including the weekly staff briefing, ensuring that the details of the meeting are communicated in good time
- Collation of announcements for the weekly staff briefing and circulation of briefing notes to all staff in a timely manner
- Co-ordinating the site team to ensure the rooms/meetings for weekly staff briefings are set-up correctly.
- Maintain an overview of all communication going out from school, through effective liaison with the Media, Marketing and Communications Officer.
- Inviting VIPs & Governors to key events e.g. school productions as instructed by the Headteacher
- Send corporate Christmas cards
- Arranging link meetings for Headteacher and SLT and subject leaders as necessary
- Organising interviews in conjunction with the HR Manager and assisting with recruitment days
- Organising in conjunction with the HR Manager end of term arrangements for staff/new staff inductions/interviews for candidates
- Administration for school trips in liaison with the Headteacher and trip leader.
- Deputise in the absence of the Cover Manager and Deputy Cover Manager
Line Manager for the Office Manager, Cover Manager and Deputy Cover Manager
